Donation Processing

The flexibility and functionality of our systems enable us to manage each client with a high degree of automation by using image-based workflows and multiple workflow options to support the widest variety of incoming transactions: cash, checks only, stubs only, full-page and correspondence. We combine high-speed mail extraction with image capture in just one step while incorporating business rules, edits and a variety of recognition engines to support automated data capture, allowing us to react to all donor comments, requests for changes and flag sensitive gifts at the point of processing.

Our integrated Donor Services Specialist Verification workflow eliminates the need for any front-end sorting, allowing us to maintain transaction integrity as the image, not the physical item, moves through the system. This results in automated reporting and “in-line” quality control checks, reduced clerical hours for the client and virtually eliminates exception processing.

Our response processing (Donation Processing) facility is comprehensive and utilizes state-of-the-art high-speed mail extraction and imaging technology in an electronically secured processing facility in Milford, New Hampshire.

At the point of opening, responses of all types are image-captured into commingled workflows. Transactions are systematically moved into data entry workflows based on payment characteristics & security protocols; Stub Only, Check Only, Stub & Check, Envelope & Check, Credit Card & Cash transactions, including notes/correspondence!

Donors include notes, ask questions and return or request premiums with their gift.

PRS captures and relays these donor intentions in our response data-real time.

As the monetary portion of each response is processed and prepared for deposit, recognition engines are at work moving handwritten comments, check boxes, requests, changes or notes to Data Entry operators in our unique Donor Services workflow.  

As a result, the data file incorporates all updates; gift or non-gift details, special handling flags, name/address changes, donor preferences, special intentions, email addresses, phone numbers, premium requests, donor status, mailing frequency, attributes and any special handling instructions.

PRS collects and passes codes in the data that drives variable text for acknowledgement letters.

To reduce clerical costs for photocopies and shipping of original source documents, PRS offers image-based ‘client review’ reports and or online access. 

Call center and special handling services  are also available to reduce administrative costs.

Use of Image reports provide clients with the means of reviewing transactions that were not previously identified with a specific business rule and allow for further discussion to determine best solutions for future similar transactions; updates to the system, clarifying PRS procedures, retraining and/or adding new business rules to the profile document.
